Share a workbook with other users in Excel 2010

I will show you how to share an Excel workbook so more then one person in a network can edit it at a same time.

  Author: mat | Version: 2010 | 8th March 2012 |

1.

Open an Excel workbook you want to make available for more then one people to work on at the same time.

As already mentioned in description, this tutorial is intended for users that have more then one computer connected into a network.

2.

That's a message you get when you want to edit a document that is already opened by another network user.

3.

To enable workbook sharing the first person who opens the document should click Review in the menu ...

4.

... and click Share Workbook button (see picture).

5.

Choose Allow changes by more than one user at the same time... option.

6.

Click Advanced tab, you can set the frequency in minutes, how often should the changes get updated ...

7.

... and set how you want the conflicting changes to be solved.

Meaning, if a value of same cell has been changed by different users, should the saved value win or should you be asked which value to save.

Click OK when done.

8.

Click OK.

9.

Now when another person opens a document you are already working on, they should click Enable Editing button (see picture).

10.

And carry on with work.

So, when they make a change on the document, in this case change a cell value from 65$ ....

11.

... to 70$ and the workbook gets changed ...

12.

... the other user who is working on the same document gets a notification that, the workbook has been updated with changes.

13.

And the changes should now be visible on their side of the network as well.

14.

To turn workbook sharing off again, click Share Workbook button ...

15.

... deselect Allow changes by more than one user... option ...

16.

... and click Yes.
